Why you have my direct email (and why that's rare)
Most software support failures don't look like anger. They look like silence — a request goes in, and weeks later you genuinely can't tell whether it's stuck in a queue, forgotten, or quietly declined. That uncertainty is worse than a flat no, because a no at least lets you plan around it.
What to ask before you commit to any tool
Before you sign up for anything — including Stillbook — ask the company one plain question: when something breaks, who reads that message first, and how long does it usually take to hear back? Most pricing pages won't tell you. Most sales calls won't either, because the honest answer depends on how the support org is actually staffed that week, not on what the website promises.
A short version you can actually send:
Before I sign up — if something in the software breaks or I have a question you can't answer from a help article, who reads that message first, and what's a realistic response time?
A vague answer ("our team typically responds promptly") is itself information. A specific one — a name, a number of hours, a channel — is a company telling you they've thought about this before you asked.
A pattern worth naming
Three unrelated reviewers, on three different competitors, described the same shape of problem in the space of a couple of weeks this September:
"Requested several times scheduling of practitioners be every other week...but never hear back." — a ClinicSense review on Capterra, September 2026
"[A] bug that I requested to be resolved over 3 months ago." — a MassageBook review on Capterra, September 2026
"Responses are often vague, information is inconsistent, and there seems to be very little accountability." — a Vagaro review on Capterra, September 2026
None of these are the same company, and I'm not suggesting any one of them is uniquely bad at support — this is a hard thing to staff well, and it's usually the first budget line trimmed when a company is optimizing for growth. But three independent practitioners describing the same kind of silence, about three different tools, in the same few weeks, is a pattern worth naming rather than a coincidence worth ignoring.
What Stillbook actually does
Every early-access Stillbook practice gets my direct email address — not a ticket system, not a support queue you're triaged into. I read it and respond inside four business hours. If a bug cost you a booking, you get a real apology and a fix, not a form letter.
The honest catch
Here's the part a cheerful support page usually skips: I'm one person. There's no overnight shift, no second-tier escalation, no phone queue. If I'm asleep, or heads-down on something else that broke, your email waits — sometimes right up against that four-hour window. If you run a multi-location clinic and need 24/7 phone coverage, that's a real requirement, and Stillbook isn't built for it today. What you get instead is a response from the person who can actually change the software, not a script-reader relaying your issue to someone who can.
That trade cuts both ways, and it's worth saying plainly rather than letting you find out later: a one-person support line means no layers between you and a fix, and it also means my bandwidth is the whole capacity of the system. So far that's held up. It's also the most honest thing I can tell you about how it might not, someday, if enough practices join at once.
The version that applies no matter what you choose
If you're evaluating anything else, ask the same question you'd ask me. A department instead of a name isn't automatically wrong — it just means you're buying a different kind of support than a direct line, and it's worth knowing which one you're actually choosing before the day you need it. An honest checklist for choosing massage therapy software has the fuller version of what else to check.
For now, the practical version is simple: if something in Stillbook is broken, confusing, or just annoying, email me. You'll hear from me — not a queue.
A calmer way to run your practice.
